Scheduling of Credit Courses in Defined Semester Dates

Operational Standard/Purpose

Illinois Central College will schedule courses based on the academic calendar that conforms to the Illinois Community College Board (ICCB) and to the regulations outlined by the Department of Education to be eligible to offer Title IV funds (financial aid).

All courses will be held within the defined term dates as approved by the Board of Trustees and outlined by each beginning date and ending date.

Scope/Applicability

The Deans are responsible for the scheduling of courses within the defined semester. The Curriculum and Scheduling Office is responsible for deploying the schedule after it is produced by the deans. See the Establishing Term and College Academic Calendars Standard Operational Procedure (SOP).

Procedures

All credit courses will abide by the Illinois Community College Board (ICCB) and by the regulations outlined by the Department of Education.

Only exceptions to any courses not being offered within the established semester dates are as follows:

Clinical Work

• All students in the program must participate in the practicum or clinical experience and its completion is a requirement for graduates to apply for licensure or the authorization to practice the occupation those students intend to pursue.
• The institution has little or no control over the length or start/end dates of the practicum or clinical experience. This may be the result of constraints imposed by outside licensing bodies, or the need to accommodate the schedules of entities with which students are being placed (e.g., school districts and hospitals).
• Credit hours associated with the practicum or clinical experience must be associated with the term in which most of the training occurs, even if the starting and ending dates do not exactly align with the term dates and/or overlap with another term exists.
• Only can expand two weeks prior to the semester or two weeks after the semester dates but not both prior and after the semester dates.
• If other programs and/or courses need to be added to the criteria list, (See Appendix) the request should be proposed to the dean of the department and reviewed with the Vice President of Academic Affairs.
• See Appendix for additional information on specific programs and associated courses meeting the criteria.

Dual Credit/Early College Courses:

• Dual Credit/Early College courses do not have to follow the standards of having courses scheduled within the defined semester. This exception is because high school students are not eligible to receive Title IV aid. Therefore, dual credit courses can be scheduled based on the high school's calendar needs if the college can support their requests.
• Early College department will inform the Academic Departments of any start and end semester date changes for courses that do not align with the college dates so that those courses can be adjusted to the academic schedule.
• Dual Credit courses will be identified in the academic schedule by the Instruction Mode of: Dual Credit.
