Operational Standard/Purpose

Ensures a process is followed to accurately and effectively verify that student’s correct program of record is on file and updated by census date for each semester.

Scope/Applicability

This standard applies to any student who needs to make changes to their program of study for any current or upcoming term. Related Standards: Reverse Transfer, Concierge, Degree/Certificate Residency, Census Date, Multiple Degrees.

Procedure(s)

Degrees and Certificates:

  1. An Associate Degree is always primary, and certificate(s) is secondary. If the student does not have a degree, then their certificate is the primary.
  2. A student can only be matriculated in one degree program at a time. In addition, a student may only be enrolled in one sub-plan at a time.
  3. A student can be enrolled in multiple certificate programs.
  4. If a student has already earned a degree, the student must complete a Program Study Change Request Form before starting a new degree. For more information on earning multiple degrees, please refer to the Multiple Degrees standard operational procedure (SOP).
  5. Early College (EC) students may change their Program of Study with advisor permission. An EC indicator will be added to their account.
  6. If an EC student matriculates to ICC, they must submit an updated Program of Study Change Request Form. The EC indicator will be removed from their account.
  7. Inactive students who return to ICC must submit a Program of Study Change Request Form before their upcoming term.
  8. All students are required to review their Program of Study prior to the upcoming term.
  9. All Program of Study Change Request Forms must be received by Add/Drop Date of the current, full-term (Census date) or they will be applied to upcoming term.
  10. Once the student submits the Form to the Registrar's office, the Registrar’s office reviews the program of study, makes the changes, and checks any service indicators.
  11.  Registrar’s office emails student when Program of Study has been updated.

Appeal Process:​​​​​​​

  1. If a student submits their Program of Study Change Request Form after Add/Drop Date for the current, full-term and they want it to be applied to the current term; the student must appeal to the Registrar’s office.
  2. The appeal decision by the Registrar is final.​​​​​
